TITAN practical resources

Prepare a clear service enquiry

A first-contact worksheet for describing a desired result, practical constraints and questions for a provider.

Explain the result before the solution

An initial enquiry opens a conversation. Describe what you want to be different when the work is complete, then explain enough of the current situation for a provider to judge whether they can help. You can ask for their suggested approach without pretending to know the technical method already.

Keep this first message narrower than a full project brief. Its purpose is to establish fit, availability and the information needed for a useful next reply. Separate requirements from preferences, and flag anything you are still deciding. An unanswered question is better than a confident but inaccurate specification.

Gather the details that change the answer

List the object, space or material involved and its relevant quantity or size, if known. Add the timing you hope for and explain whether that date is fixed or flexible. Describe practical constraints such as access windows, existing formats or a preferred handover method. Avoid unnecessary personal information.

If a photograph or sample would help, first check that you are comfortable sharing it and remove unrelated private details. Ask the provider what they need rather than sending a large, unexplained collection. If you choose to mention a budget, distinguish an approximate planning range from authorization to begin work.

A fictional first message to a print shop

Hello, I am looking for help printing 40 copies of a two-page event handout. I have a draft PDF, but the final text is still being checked. I would like one double-sided sheet per copy, with readable black text and no special finishing. Is this a job you handle?

My preferred collection date is 18 June, although I can collect on 19 June if needed. Could you tell me what file preparation you require, when you would need the final PDF and what an estimate would include? Please also let me know whether a sample check is available before the full run.

This fictional request specifies 40 physical sheets with two printed sides each: 80 printed sides in total. It requests information without approving production or assuming a price. The dates illustrate how to express flexibility; they do not represent a real booking.

Check the reply against your request

Look for unanswered questions, changed assumptions and anything the provider needs from you. Clarify those points before agreeing to the next stage. This original TITAN-owned resource is a copyable enquiry guide, not a quote, booking form or service agreement.
